Scenario 5 / 9

Pace intervention · countdown to key milestones

Some opportunities stall because no one catches the rhythm: milestones pass before anyone notices, budgets run out before anyone knows, and clients change personnel long before anyone finds out.

Summarize budget reviews, project milestones and personnel changes, remind sales to confirm the customer timeline, and record follow-up actions.

Four real cases that died on timing

① Key milestone windows are missed — you only find out after the month-end review is over

What happened:The customer said, "We have a budget review meeting at the end of the month." The salesperson remembered it, but no one followed up on the timing, and no preparatory work was done in advance. When the end of the month arrived, the salesperson only then thought, "Should I reach out in advance to confirm?" In reality: the review meeting had already ended, the budget had already been allocated, and the salesperson's deal never made it onto the list.

Hidden costs:You missed the only budget window this quarter; the next window is in Q2, and the project must be re-initiated.

② The client's key contact changed roles 6 months ago, and sales has no idea

What happened:A salesperson had a great relationship with Mr. Zhang (the procurement lead) at a customer and contacted him directly every time. Half a year later, they discovered Mr. Zhang had been reassigned, and the new Mr. Li had no idea about the project. The project was cut outright by the new decision-maker on the grounds that it was "not a high enough priority."

Hidden costs:Six months of follow-up work thrown out entirely, and worse, the window to rebuild the relationship was missed.

③ Long-term low-level loop: you only find out six months later that the project stopped long ago

What happened:The client kept saying "we're going through internal processes." The salesperson kept saying "following up." Six months later the client said "sorry, our project was cancelled; we never signed a contract with you, and since it wasn't a priority we didn't push it forward." Only then did the salesperson realize the project had been dead for a long time.

Hidden costs:6 months × 1 sales rep's energy = a large amount of time wasted that could have gone to real opportunities.

④ Managers only learn about risks during Review and have no way to intervene in advance

What happened:The manager asks "How's this deal going?" and the salesperson says "Still in talks." The manager says "Then hurry it up." In reality the deal is half dead, but the manager has no data to judge the real situation, let alone intervene early. Only when the customer says "We chose someone else" do they learn it's being lost.

Hidden costs:Risks are discovered too late, the window to intervene is completely lost, and you can only passively accept losing the deal.

AI rhythm management system

Key milestone countdown + advance reminders

When a customer mentions "month-end review" or "meeting next Wednesday", the system can record key milestones and set countdowns, prompting the owner at the agreed time:

⏱ Key node | Company L budget review meeting

Distance to review

7 days

Current status

Agenda not confirmed

Advance reminder | Due today:Proactively contact the Champion to confirm ① who will attend the review meeting ② whether there are new comparison options ③ what questions we need to focus on answering at the meeting

⏱ Key milestones | Company M POC acceptance milestone

Distance to acceptance

3 days

Current status

Acceptance criteria to be confirmed

Urgent alert | Acceptance criteria have not been confirmed in writing. If no confirmation email is received today, the system will automatically remind you to contact Engineer Wang directly to confirm; otherwise POC acceptance may be delayed.

Real-time monitoring of key personnel changes

👤 Key contact change alert | Company N

Mr. Zhang (former procurement lead) — has been reassigned to group headquarters

New decision-maker: Mr. Li (new IT lead) — has not yet confirmed whether he is aware of this project

Recommended action: This week you must arrange the first outreach to Mr. Li, using "project handover" as the entry point, without mentioning sales

Rhythm health early-warning matrix

The system can flag opportunity pacing based on rules set by the team, for the owner to review:

Healthy pace All key milestones progressing normally, last EB contact < 14 days
Pace alert Key milestone overdue < 7 days, or EB contact over 21 days
Loss of rhythm control Key milestone missing for over 14 days, suspected false progress

How many deals have you lost because of "loss of rhythm"?

If this kind of lost deal keeps recurring, cadence management can help the team spot gaps earlier and schedule evidence-gathering actions; whether results improve should be verified with the team's own data.
